To define the standards for assigning grades for recognizing student achievement in a course and/or program.
Grading Policy
Purpose
Scope
This policy applies to all Seneca courses and programs.
Key definitions
Aegrotat standing (AEG)
A designation assigned to a student who is unable to withdraw from a course officially but cannot complete the course due to illness.
Cumulative GPA
The GPA for all completed graded courses a student has completed during their studies.
Deferred examination
An examination that is granted at a later date due to circumstance beyond a student’s control (e.g., death in a family, illness etc.).
Extenuating circumstances
Personal or medical challenges a student may experience that have an impact on academic performance.
Full-time (FT) status
An individual who is registered in at least 66.66 per cent of the assigned course requirements for a specific term or at least 70 percent of the scheduled contact hours of an approved postsecondary program.
Grade Point Average (GPA)
Values calculated by dividing the total points earned by the total units of credits attempted. Points are calculated by multiplying the value earned by the units assigned.
Graduating GPA
The GPA of all successfully completed graded courses used toward the credential requirement upon graduation.
Incomplete (INC)
A grade assigned to a student indicating that the work is to be completed by a specific date of submission to meet the course requirements.
Program GPA
The GPA of all successfully completed graded courses required for a specific program.
Supplemental assessment
An additional assessment or examination that is granted to a student at Seneca’s discretion.
Term GPA
The GPA for all completed graded courses within a single term.

- The following letter grade designations are used to recognize a student’s achievement in a course:

2. Temporary grade designations
- These designations are used to indicate a student’s temporary standing in a course:

DEF Deferred examination granted INC Incomplete SUP Supplemental assessment granted - A student who has failed to meet the minimum requirements for a course may, at the discretion of a school or faculty, be granted a supplemental assessment on a case-by-case basis.
- A student offered a supplemental assessment will only be assigned a grade provided the supplemental work meets the minimum requirements outlined by the school or faculty.
- A student may be offered a supplemental assessment in a maximum of two courses in a term.
- A student granted a deferred examination must provide supporting documentation of the extenuating circumstance to the academic chair or designate.
- A student granted deferred examination will have their grade determined in the same manner as if they had written the final examination.
- A student assigned an incomplete grade will receive a formal notification indicating the work to be completed and the submission date to meet the course requirements. An ‘F’ grade will be assigned if they are unable to complete the required course work by the assigned date.
3. Course audits
- A student can request a course audit, but Seneca is not obligated to complete such a request.
- Courses that are audited cannot be taken for academic credit since examination or evaluation options are not available.
- Credit standing cannot be granted for audited courses.
4. Grade Point Average (GPA)
- Students will be provided with a term GPA, cumulative GPA and program GPA.
5. President's Honour List
- The President’s Honour List recognizes outstanding achievement and is awarded to:
- full-time students who have achieved a term GPA of 4.0
- students who have an accommodation approved by Accessible Learning Services for the equivalent of a full-time course load and have achieved a term GPA of 4.0
- students in the Faculty of Continuing Education who have achieved a term GPA of 4.0, with a minimum of four courses over three consecutive terms
